At Associates in Dentistry, we highly value your time and are committed to delivering top-quality dental care services in a timely manner. We understand that unexpected situations may arise, and patients may need to reschedule or cancel their appointments. To ensure that we can provide efficient care to all our patients, we have implemented a policy to monitor and manage appointment no-shows and late cancellations. Your cooperation with our cancellation policy will help us accommodate all our valued patients effectively.
We provide patients with automated text message reminders (unless they have opted out of this service) and phone call reminders for upcoming appointments.
Appointments are in high demand. Should it be necessary to reschedule or cancel an appointment, we kindly request advanced notice, no later than twenty-four (24) hours prior to the scheduled appointment, during our regular business hours.
When it is necessary to reschedule or cancel an appointment, patients may contact us via phone or text message during regular business hours. Patients may leave a message, and we will respond as soon as possible.
A cancellation is considered late when the appointment is cancelled less than twenty-four (24) hours before the appointment time. This notice must be given during regular business hours.
A no-show is when a patient misses an appointment without cancelling.
When a patient is a no-show or cancels less than twenty-four (24) hours before the appointment time, they will receive a text message regarding the occurrence, if opted in for our text message service. Otherwise, a letter will be sent to the mailing address on file.
We understand that delays can happen. However, to ensure that we can provide the best service possible, patients arriving more than fifteen (15) minutes late may be asked to reschedule. If the appointment needs to be rescheduled, the tardiness may be considered a late cancellation.
Please take note of the following information regarding appointment no-shows and late cancellations: Each patient is monitored individually from other family members.
A patient is allowed one instance of a no-show or late cancellation before incurring a cancellation fee of $35 for each additional occurrence. Cancellation fees must be paid before scheduling future appointments. This fee cannot be billed to the insurance company and is the patient’s direct responsibility.
The practice has the right to dismiss a patient with more than two occurrences in a year.
We understand that emergencies and exceptional circumstances can occur. Exceptions to our policy are made on a case-by-case basis.
