Estimates and claim filing

We work with more than 150 dental insurance plans and file your claims for you. Every patient pays the same fee for the same procedure, whether or not they have insurance.

We handle insurance billing, electronic claims, coordination of benefits, accident claims, assignment of benefits and signature-on-file services.

We do not accept the Illinois Public Aid card (IPAC) or Medicaid. Not sure if your plan is one we work with? Call your office before your visit and we'll check.

Estimates

Every plan covers procedures differently, so we can't know in advance exactly what yours will pay. Before treatment, we'll give you an estimate of the cost and the portion we expect insurance to cover. If a service isn't covered, especially anything beyond routine care, we'll tell you before we start.

You're responsible for any balance insurance doesn't pay. If a claim pays less than estimated, let us know and we'll help you confirm your benefits.

Payment

Payment is due at the time of your visit, including deductibles, copays and coinsurance. We accept cash, checks and credit cards.

If you plan to use third-party financing, set it up before treatment begins.

Cancellation Policy

Appointments are in high demand. When a visit is missed or cancelled late, another patient could have had that time. This policy keeps the schedule fair for everyone.

Reminders

We send a text reminder (unless you've opted out) and call before each appointment.

24 Hours' Notice

If you need to cancel or reschedule, let us know at least 24 hours ahead, during business hours. Call or text your office, or leave a message and we'll get back to you.

Late Cancellations and No-Shows

Cancelling with less than 24 hours' notice is a late cancellation. Missing a visit without cancelling is a no-show. Either way, we'll let you know by text, or by letter if you don't receive texts.

Arriving Late

If you arrive more than 15 minutes late, we may need to reschedule. A rescheduled late arrival may count as a late cancellation.

Cancellation Fee

Your first late cancellation or no-show carries no fee. Each one after that is $35. The fee must be paid before you schedule again, and insurance can't be billed for it. Each family member is tracked separately.

Repeated Occurrences

Patients with more than two occurrences in a year may be dismissed from the practice. We know emergencies happen, and we review exceptions case by case.
